Who we are

Shule Smart Technologies runs this school management system on behalf of schools. For the data a school enters, the school is the data controller and we are its data processor.



What data is held


Students: names, date of birth, class, attendance, results, fees, health and discipline notes, photos.

Parents and guardians: names, phone numbers, email addresses, relationship.

Staff: employment, payroll and contact details.

Usage: login times and an audit log of changes.



Why

To run the school's administration: admissions, teaching records, report cards, fees, communication with parents and payroll. We do not sell personal data or use it for advertising.



Who it is shared with

Only providers needed to deliver the service: hosting, SMS and email providers, and payment providers when parents pay online.



Security and keeping data

Each school's data is kept separate from other schools'. Access is by password and role, changes are logged, and data is backed up daily. Data is kept while the school uses the service, and deleted 60 days after it leaves.



Your rights

Parents, students and staff can ask the school to see, correct or delete their data. Under the Personal Data Protection Act, 2022 you may also complain to the Personal Data Protection Commission.
